Files – Introduction

In Brief

The file storage is the central place for managing files and folders on the platform. Content is stored here, organised, and made available for further work with agents or in projects.

In the file storage you can upload your own files, create folders, and structure your content. At the same time, files generated by agents are also stored there – for example, images, documents, or presentations from chat sessions.

The file storage is therefore not only a place to store content, but also the foundation that enables content to be saved in a structured way, found again quickly, and used in the right context.


Areas of the File Storage

The file storage is divided into two main areas: Private and Shared. In addition, Projects are integrated into the file storage – however, they function as a separate working context with their own logic.


Private

The private area contains your personal content.

This includes in particular:

  • files generated by agents in chat sessions
  • manually uploaded files
  • folders, projects, and structures you create yourself

When an image, Word document, or presentation is created in a chat, this file is saved in the private area by default – unless a project has been selected in the chat. In that case, the file is saved in the corresponding project folder.

Note

Agents do not work directly in the private file storage. The active working context for agents is within Projects. In the private area, you manage your files manually.


Shared

The shared area contains content available to multiple people.

This includes:

  • shared folders
  • project folders (depending on role and permissions)
  • organisation-wide storage, for example for data sources or recordings

Authorised users can also create new folders manually in the shared area. These are then visible to all users with the appropriate access.

Note

Certain content in the shared area – for example, files from data sources or recordings – is generally only accessible to Administrators.


Visibility by Role

Which areas of the file storage are visible depends on the user's role.

Basic User

  • Access to the private area only
  • No access to Shared
  • No access to Projects

Plus User

  • Access to the private area
  • Access to Shared
  • Can see project folders there in particular
  • Can work with shared folders if authorised to do so

Administrator

  • Access to the private area
  • Access to Shared
  • Additional access to organisation-wide storage, for example for data sources or recordings

When to Use the File Storage

The file storage is useful for:

  • storing and managing files centrally
  • structuring content clearly in folders
  • finding generated files from chats again
  • organising files manually between areas
  • saving project-related content in the right place
